Provider Licensure Renewal Reference Guide

To assist providers at MFM Health (MFM) with licensure renewals, the Credentialing Team has established protocols to provide timely reminders and administrative support. This guide outlines renewal procedures, reimbursement policies, and available resources to ensure a seamless process.


Renewal Types, Timelines & Accountability

1. Medical & Professional Licensure


Physicians (Massachusetts Board of Registration in Medicine)
  • Renewal Frequency: Every 2 years (provider’s birth month)

  • Renewal Submission Completed By: Provider

  • Reminder Process:

    • MFM Credentialing Team will send initial reminders at least 30 days before expiration.

    • Some providers may receive renewal reminders directly from the Massachusetts Board before MFM’s notification.

  • Reimbursement Policy: Fully reimbursed by MFM.


Nurse Practitioners (NPs), Physician Assistants (PAs), Registered Dietitians, LICSW, LCSW, and LCMHCs
  • Renewal Frequency: Varies by license type and governing board (typically every 1-2 years)

  • Renewal Submission Completed By: Provider

  • Reminder Process:

    • MFM Credentialing Team will send reminders at least 30 days before expiration.

    • Providers may receive direct reminders from their licensing board prior to MFM notification.

  • Reimbursement Policy: Fully reimbursed by MFM.


2. Massachusetts Controlled Substance Registration (MCSR)

  • Renewal Frequency: Every 2-3 years

  • Renewal Submission Completed By: Provider

  • Reminder Process:

    • The Credentialing Team will send reminders at least 30 days before expiration.

    • Providers may receive direct reminders from MCSR prior to MFM notification.

  • Reimbursement Policy: Fully reimbursed by MFM.


3. Drug Enforcement Administration (DEA) Registration

  • Renewal Frequency: Every 3 years

  • Renewal Submission Completed By: Provider

  • Reminder Process:

    • MFM Credentialing Team will send reminders at least 30 days before expiration.

    • DEA may send direct renewal notices before MFM’s notification.

  • Education Requirement:

    • As of June 2023, the MATE Act requires completion of training on treating and managing patients with opioid and substance use disorders.

    • Providers were previously educated about this requirement and must ensure compliance prior to renewal.

  • Resources for required training can be found at:

  • Reimbursement Policy: Fully reimbursed by MFM.


4. CAQH Profile Maintenance

  • Renewal Frequency: Every 120 days (quarterly attestation)

  • Renewal Submission Completed By: MFM Credentialing Team

  • Reminder Process:

    • CAQH sends reminders directly to providers.

    • MFM Credentialing Team will reach out to the provider for assistance if additional information or action is required. Otherwise, no action required by the provider.

  • Reimbursement Policy: Not applicable (no fees required for attestation).


5. Hospital Privileges & Credentialing

  • Renewal Frequency: Varies by hospital/organization

  • Renewal Submission Completed By: Provider

  • Reminder Process:

    • MFM Credentialing Team will send reminders at least 30 days before expiration.

    • MFM Management Team is available to assist in completing hospital re-appointment paperwork. Please reach out to managementteam@mfmhealth.com for privilege application assistance.

    • Verification of hospital privileges will be completed upon request.

  • Reimbursement Policy: Fully reimbursed by MFM.


6. Medical Subscriptions & Publications

  • Examples: UpToDate, NEJM, JAMA, AMA Memberships, Specialty Board Memberships

  • Renewal Submission Completed By: Provider

  • Reimbursement Policy:

    • Covered under CME reimbursement allotment.

    • MFM will reimburse up to the annual CME maximum per provider.


Reimbursement Guidelines

  • Fully Covered Renewals:

    • Medical License

    • MCSR

    • DEA Registration

    • Hospital Privileges

  • Partially Covered (Applied to CME Allotment):

    • Medical Journals

    • Professional Memberships

    • Educational Subscriptions

  • CME Allotment Reimbursement Policy

    • Minimum Provider Hourly Requirement: 24 hr/week

    • < 5 Years at MFM: $1,100 CME allotment and up to 3 Days Off to complete CMEs

    • ≥ 5 Years at MFM: $1,350 CME allotment and up to 4 Days Off to complete CMEs

Administrative Support

The MFM Credentialing Team is available to assist providers in completing renewal applications and ensuring compliance with training requirements. Providers may seek assistance from the Credentialing Team for support in completing renewal application documents.
